Data Stewardship & Privacy Protocol
Document Date: 11-22-2025
At Raising The Standard Consulting (USA) Inc., our reputation is built on integrity and the protection of people. We extend that same protective philosophy to the digital information you share with us.
We believe in total transparency regarding the data required to run our safety and consulting operations. This document serves as the blueprint for how we handle visitor and client information on rtsconsulting.com.
1. Data Acquisition for Consulting Services
To provide accurate safety assessments and training, we require specific input from our visitors. We limit our data intake to what is strictly necessary for business operations:
- Client Communication: When you complete our intake surveys or request a consultation, we record the contact details you voluntarily provide (such as your name, corporate email, direct phone line, and organizational role).
- Operational Metrics: During safety audits or gap analyses, you may share specific details about your workplace environment. This operational data is treated as confidential proprietary information.
- Financial Transactions: For clients utilizing our online payment portal, financial processing is managed exclusively by secured third-party vendors. RTSC does not retain raw credit card numbers or sensitive banking credentials on our internal systems.
- Digital Footprint: To maintain site functionality, our servers may log standard technical details, such as IP addresses and browser versions. This helps us optimize the user experience across different devices.
2. Application of Your Data
We view your information as a tool to serve you, not a commodity to be sold. Your details are utilized strictly for the following objectives:
- Service Execution: To fulfill the specific training, audits, or consulting agreements we have established with your organization.
- Regulatory & Safety Alerts: To keep you informed about changes in OSHA regulations, EPA standards, and RTSC best practices.
- Internal Analysis: We may review anonymized user behavior to refine our web-based training modules and improve the efficiency of our digital resources.
We do not trade, rent, or sell client lists to external marketing agencies.
3. Security Standards (“Hazard Controls”)
Just as we advise clients on physical hazard control, we implement digital hazard controls for your data. We utilize industry-recognized security protocols—including physical access restrictions and digital encryption—to safeguard your personal information against unauthorized entry or misuse.
4. External Collaborations
There are limited instances where third parties assist in our operations. We partner with trusted vendors for secure payment gateways and email distribution systems.
These partners are contractually obligated to keep your information confidential. Additionally, if required by law or a specific government safety audit (such as an OSHA inquiry), we may be required to disclose specific records to comply with legal mandates.
5. Regional Protocols: California & Hawaii
We recognize that our clients in California and Hawaii operate under specific legal frameworks regarding data privacy. RTSC is committed to meeting these local standards.
A. For Our California Residents (CCPA & CPRA Statement)
If you are a resident of California, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) provide you with specific rights regarding your data.
- The “Do Not Sell” Mandate: RTSC does not sell your personal information. We do not trade your data to data brokers or third parties for financial gain. Therefore, we do not maintain a “Do Not Sell My Info” link, as we have no such business practice to opt out of.
- Right to Knowledge & Portability: You have the right to request a “Data Report” up to twice within a 12-month period. This report will detail the specific pieces of personal information we have collected about you, the sources, and the business purpose for collecting it.
- Right to Correction & Deletion: If you find an error in your file, you may request a correction. You may also request the total deletion of your personal data from our systems, subject to certain exceptions (e.g., if we are legally required to keep records of a completed safety audit).
- Non-Discrimination: Exercising your privacy rights will never result in a penalty. We will not deny you services or charge you different rates simply because you exercised your CCPA rights.
B. For Our Hawaii Residents (Honoring HRS Ch. 487N)
We respect the unique privacy protections afforded to residents of Hawaii under the State Constitution and Hawaii Revised Statutes Chapter 487N.
- Breach Notification Protocol: In the unlikely event of a security breach that compromises your unencrypted personal information (such as your name combined with a Driver’s License number or financial account access), RTSC adheres to a strict notification timeline. We will notify you “without unreasonable delay” following the discovery of such a breach, consistent with Hawaii state law requirements.
- Constitutional Respect: We acknowledge that Article I, Section 6 of the Hawaii Constitution grants a distinct right to privacy. We honor this by minimizing data collection to only what is essential for our consulting relationship.
6. User Rights and Access
You retain ownership of your personal preferences.
- Subscription Management: Every newsletter we send includes a direct link to remove yourself from our distribution list.
- Record Correction: If you believe the contact information we have on file is inaccurate, please contact our administrative team to update your profile.
7. Protocol Revisions
As regulations evolve, so will this document. Any modifications to our data handling practices will be published immediately on this page.
